Record version states

In version-controlled Tables, all records have a version ‘state’ which determines who can see the record and edit the data.

Note: Visibility of version-controlled records can also be affected by access control settings.
Version state Description
Unreleased

This is an ‘unapproved’ version of the record. All new records are created with a version state of Unreleased.

Unreleased records can only be seen by Granta MI application users with Write privileges or higher.

When a record has been approved, it can be released.

Released

This is the ‘approved’ version of the record.

Released records can be seen by all users with Read privileges or higher.

To edit data in a Released record, a new, Unreleased version of the record must be created, and this version can then be edited. The Released version remains the 'approved' version, available to all MI users, until the newer version is released. When the new version is released, the status of the original Released version changes to Superceded, and the new version becomes the Released version

Superseded This is a released version of the record that has been ‘superseded’ by a later Released version.
Withdrawn This is a record that has been Released and then subsequently ‘withdrawn’ from use.

After initially enabling version control on a Table, all records in the Table will be set to Unreleased.
